Production Coordinator

Position Location: 
York, PA
Full-Time 8:00 AM – 5:00 PM | Monday – Friday

The Production Coordinator provides support in three primary areas, including administrative, marketing, and production. The primary role of the Production Coordinator is to collect and manage both digital and print assets and products sold by Account Executives for various properties. Communicating with designers and advertisers, the Production Coordinator ensures all ads comply with client standards and are submitted in a timely manner. Likewise, the Production Coordinator carries out setting up and scheduling campaign creation in Google Ad Manager and/or AdButler, and conducts related reporting. Collaborating with the Account Manager, the Production Coordinator fields all print and digital ad submission inquiries from clients. In the spirit of continuous improvement, the Production Coordinator will develop new processes to organize departmental functions and improve current workflows.

Essential Functions: 
  1. Traffic/Manage/Preflight Print Artwork – Utilizing SendMyAd, the Production Coordinator is responsible for the collection, preflight, and trafficking of all print ad artwork to ensure it is collected and adheres to correct specifications. This includes calling/emailing advertisers if necessary to ensure deadlines are met, and working with advertisers to correct ads not within specifications.
  2. Traffic/Manage/Preflight Digital Artwork – Utilizing Google Ad Manager, the Production Coordinator is responsible for the trafficking, management, and preflight of digital campaigns for client accounts. Also responsible for tracking the results of all promotions and reporting statistics for digital advertising and marketing, including digital edition announcements, conference e-newsletters, client digital properties, etc.
  3. Assist with Publication Special Sections – Collect print ads and prepare run sheets for ancillary publications and special sections.
  4. Production Reporting – Responsible for maintaining production reports for assigned accounts. Also prepares production reports (run sheets) for all internal and external clients adhering to production deadlines upon ad close and art due dates.
  5. Database Updates – Work closely with Account Executives to maintain the most up-to-date production reports (run sheets) for assigned accounts, and communicate all reports with both internal and external clients based on deadlines.
  6. Client Management – Work closely with the Account Manager to review ad collection process and ensure process is up to date.
  7. Coordinate with Account Manager, Marketing Manager, Account Executive, and client to ensure all ads are placed properly and goals are met.
  8. Monthly analytics reporting.
  9. Issue run sheet reporting.
  10. Conference calls/information gathering/preparation.
  11. Check proofs for ad placement accuracy, color, and size specifications.
  12. Primary contact for ad collection for all assigned publications.
  13. Manage digital artwork for all clients in Google Ad Manager or AdButler, as assigned.
  14. Collect and file all artwork for each client as assigned.
  15. Assist with CRM implementation.
  16. Help manage special sections, including schedules, art collection, and proofing.
  17. Assist in custom marketing plans as needed.
  • Associate degree in graphic communications or related field preferred.
  • High school diploma or GED required.
  • Proficient in Microsoft Office products on Mac and PC platforms, with a working knowledge of Adobe Acrobat, Photoshop, and InDesign.
  • Knowledge of preflight and printing specifications.
  • Working knowledge of Google DFP and SendMyAd preferred.
  • Excellent oral and written communication skills, as well as organizational capabilities are a must.  
  • Flexible team player who learns quickly, can work independently, has outstanding prioritization and time management skills, has a proven ability to multi-task, and works well under pressure.
  • Ability to maintain a fast pace and work with a sense of urgency.
  • Valid driver’s license and reliable transportation required.
Physical Requirements: 
  • This position is stationary approximately 90 percent of the time. 
  • The individual in this position needs to move around inside the office areas to access files, operate office machinery, etc., regularly. 
  • May carry weight, lift (to a height of 3–4 feet), transfer, position, or remove materials up to 20 pounds occasionally, and up to 10 pounds regularly.
  • Will use fingers, hands, and arms to feel, grasp, handle, push, pull, lift, lower, and position objects and/or materials as needed.
  • Will use feet and legs to climb stairs or ladders, balance, ascend, and descend as needed to complete work assignments.
  • Must communicate, listen, hear, speak, converse with, and/or convey information as needed. 
  • Regularly operates a computer and other office machinery, such as a calculator, copy machine, and computer printer as needed.
  • The person in this position frequently communicates with coworkers, customers, and business partners to complete work assignments. Must be able to exchange accurate information in these situations.
  • Must see, detect, determine, perceive, identify, recognize, judge, observe, inspect, estimate, and assess information as needed.
  • Position works in office areas regularly. Temperatures are regulated through systems. 
  • Environment is considered to contain low/medium noise levels.
  • Environment is not regularly exposed to extreme changes in temperatures or weather conditions.
  • Will attend meetings and YGS-related events as needed.
  • Overtime as dictated by the needs of the business.
